How to Add a File Upload field to a workflow

Introduction

The file upload field is a popular, secure and easy to use field where there is a requirement to upload files and images when completing workflow assessments. The file upload field features a number of easily configurable options including the setting of the maximum number of files that can be uploaded, who can view and upload files, setting the field as inactive, setting the field as mandatory in addition to conditional display options.

Example Usage

The File Upload field is used in workflows where files or images are required to be uploaded. Some use cases include:

  1. Uploading of official documents such as .PDF or .docx files
  2. Uploading of images or photos as evidence

If your workflow use case has a requirement to upload files, images or photos, then the file upload field will prove very useful.

Steps

  1. Open an existing workflow or create a new workflow.
  2. Click on the "File Upload" option on the component toolbar to add the field to your workflow canvas.
  3. Configure the settings of the field in the "File Upload Settings" pane on the right hand side of the flow builder.
  4. Drag the "File Upload" field to the desired location on the stage canvas.

Settings

The following general settings are available to configure the "File Upload" field:

  • Label: Add a text label to display text above the file upload field. Delete this text if you do not want a label to be displayed.
  • Max. files: Select the maximum number of files that can be uploaded from by clicking on the drop-down field. A maximum of 20 files can be uploaded to the file upload component.
  • Viewers: By default, anyone will be able to view the file upload field. If you would like to restrict who can view the field when completing assessments, select the role or individual people from the "Viewers" drop-down field.
  • Editors: By default, anyone will be able to upload files using the file upload field. If you would like to restrict who can upload files when completing assessments, select the role or individual people from the "Editors" drop-down field.
  • Inactive: When clicking the "Inactive" checkbox, the file upload field will be displayed in an inactive state and the field will not accept any file uploads.
  • Required: Select the "Required" checkbox if a file is required to be uploaded in the file upload field when completing assessments. Validation will occur when someone clicks on a button where the button's "Check required" setting is selected.
  • Required Text: If the "Required" checkbox is selected a message will appear below the file upload field advising that the field requires a selection on button click. Change the "Required text" to display your own custom validation message.

Conditional Display

Conditional display provides you with the ability to display the file upload field when certain conditions are met with other fields in the workflow. For example, if I add a radio button field to the workflow canvas with the options Yes, No and Other. When someone selects "Other" then the file upload field will be displayed.

  • IF: Select the "Field" option from the drop-down (currently the only value available)
  • Field: Select a radio, dropdown or checkbox field that has been added to any stage canvas of your workflow.
  • Equals: Select the field value that will result in the file upload field being displayed.
